INFORMATION ON EXECUTIVE OFFICERS

Executive Officer Elections
The ASG Executive Officers are the President, Vice President, Secretary, Treasurer, and Public Relations. The Executive Officers shall be elected by the ASG members. Candidates are selected from the elected student representatives. A simple majority vote by secret ballot will determine the successful candidate. In the event of a tie, a runoff of the two candidates with the greatest number of votes will be held. The term of office shall begin immediately following Executive Officer Elections each fall semester. ASG executive officers may not hold concurrent executive officer positions with any other student club at GCC. All executive officers shall be entitled to the remuneration as determined by the ASG and Maricopa County Community College District Administrative Regulations.

The duties of the Executive Officers are as follows:

President
  • Call, preside over and conduct ASG meetings except committee meetings.
  • Be responsible to fill committee vacancies and appoint committees with the approval of the ASG.
  • Serve as the official representative of the ASG, conduct business previously approved by the ASG.
  • Facilitate the preparation of agendas with the Secretary, Executive Officers and ASG Faculty Advisor.
  • Meet with the ASG Faculty Advisor for planning and updates.
  • Review and approve by signature all financial documents.
  • Coordinate and integrate all activities and duties of officers, members, and volunteers.
  • Vice President
  • In the absence of the President, perform the duties of the President.
  • In the event the President office is vacated, the Vice President will fill the vacant office.
  • Oversee all committees assign students to committees.
  • Assist in spokesperson duties.
  • Keep an updated list of active clubs, advisors and information on events.
  • Keep track of ASG’s office hours.
  • Receive, organize, and present funding requests at ASG meetings
  • Facilitate the development of Special Events Calendar
  • Secretary
  • Record, publish and distribute minutes of all regular and special  council meetings.
  • Prepare and post agendas.
  • Circulate attendance sheet and take roll call.
  • Copy and present minutes for approval at all meetings.
  • Submit minutes to Student Life.
  • Record in-council member attendance.
  • Maintain and file all outgoing correspondence.
  • Maintain database of mailing addresses.
  • Copy and share incoming / outgoing correspondence with ASG.
  • Appoint, as necessary, an assistant to aide in duties outlined above.
  • Treasurer
  • Purchase supply needs as directed by the ASG.
  • Carry out the fiscal business of the Association.
  • Keep records of money matters and report these to the ASG.
  • Submit all financial documents to Student Life.
  • Work with clubs to complete and present funding requests.
  • Facilitate the development of the annual budget.
  • Prepare all financial documents.
  • Prepare and present a financial report at each meeting.
  • Handle all petty cash.
  • Prepare and present the year-end financial report.
  • Appoint, as necessary, as assistant to aide in duties as outlined above.
  • Public Relations Officer 
  • Prepare releases to the media
  • Develop and distribute information, such as newsletters, to clubs.
  • Develop an annual Public Relations plan to provide publicity for ASG and to advertise events.
  • Facilitate the development of an advertising budget.
  • Have material for posting approved as well as post and remove materials for promoting events.
  • Appoint as necessary, an assistant to aide in duties outlined above.

  •
