Logout of Personal Administration Tool (PAT)
 


Login to Personal Administration Tool (PAT)

  1. Start Netscape and navigate to the MEMO web page for your college by entering the appropriate web address in the location field of the Netscape Navigator window.
  2. Example: http://domail.maricopa.edu

  3. Click the Personal Administration Tool (PAT) link.
  4. At the Location field, click the down arrow to select your college location.
  5. At the Directory User Name field, enter your first and last name as it is displayed in the Maricopa Directory.
  6. At the Password field, enter your password.
  7. For first-time access, your password should be the last four digits of your Social Security number.
  8. For continued access you may synchronize your Directory and MEMO Email passwords after logging in the first time (see directions to Change Your Password).
  9. Click the Login button.

Change Your Password (Email and Directory)
  1. Click the Edit Directory Information link.
  2. Scroll to the Password field and enter the desired password.
  3. Enter the desired password again in the Re-type Password field.
  4. Verify that the checkbox for Synchronize Email Password with this change? is checked. If not, click the checkbox.

  5. Note: It is best to have your email and directory passwords set to the same thing to avoid confusion.
  6. Scroll to the bottom of the Edit Directory Information page and click Submit.

Change Your Directory Information
  1. Click the Edit Directory Information link.
  2. Edit information such as phone number, fax number, address, etc.
  3. To change your Directory Name (as displayed in the Maricopa Directory:

  4. At the Familiar Name field enter the text (1 word only) you wish to display as your first name in your new Directory User Name.
    Enter your new Directory User Name (must be a combination of First Name+Last Name or Familiar Name+Last Name.)
  5. Scroll to the bottom of the Edit Directory Information page and click Submit.

Add Members to a Distribution List
  1. Click the Manage Distribution Lists link. A window will display listing all distribution lists you own.
  2. Click the link for the list you wish to edit. Two scrollable windows will display: Modify Distribution List Data (top) and Add New Entry Search (bottom).
  3. In the Modify Distribution List Data window, scroll down to the field box labeled Add an email address and enter the email address for the person you wish to add.
  4. Click the Add email address button. This adds the email address to the scrollable list labeled Email Addresses of List Members.

  5. If you don't know the email address for the person you wish to add to the list, you may search the Maricopa Directory. (See instructions under Search for an Email Address.)
  6. Continue to add email addresses as needed by entering the email address in the Add an email address field box and clicking the Add email address button.

  7. Hint: The Add an email address field doesn’t automatically clear after you click the Add email address button. Just double-click to select its contents and type the next email address over the highlighted text.
  8. Scroll down and click the Update List button to save the changes to the list.
  9. A modification summary window will display. Scroll down and click on click here to start over to return to your distribution list window.

Search for an Email Address
  1. In the Add New Entry Search (bottom) window, select the Search Attribute/s you wish to use for your search: Display Name (name as it appears in Maricopa Directory), Last Name (HR Last Name), First Name (HR First Name), Site (College abbreviation: cgc, do, emc, gc, gw, mc, pc, pv, rio, scc, smc), Sub-site, Employee Class (MAT, PSA, Faculty, etc.), Telephone, Email.
  2. Click the down arrow at the Search Criteria box and select from: Begins With, Ends With, Contains, Is Exactly.
  3. Click in the empty field box and enter the search criteria (not case sensitive).
  4. Scroll down and click the Search button. All Maricopa Directory entries which match the search criteria you specified will be listed in the box below the Search button under Email Addresses of List Members.
  5. Select the persons you wish to add to your list and click the Add selection to member list button.

  6. •To select multiple consecutive persons: Click the first person, then Shift+Click the last person.
    •To select multiple non-consecutive persons: Click the first person, then Ctrl+Click (Windows) or Command+Click (Mac) each additional person.
  7. In the Modify Distribution List Data (top) window, scroll down and click the Update List button to save the changes to the list.
  8. A modification summary window will display. Scroll down and click on click here to start over to return to your distribution list window.

Delete Members from a Distribution List
  1. Click the Manage Distribution Lists link. A window will display listing all distribution lists you own.
  2. Click the link for the list you wish to edit.
  3. In the Modify Distribution List Data (top) window, select the member(s) to be deleted in the scrollable list labeled Email Addresses of List Members.
  4. Scroll down and click the Delete Selected Entry button.
  5. Scroll down and click the Update List button to save the changes to the list.
  6. A modification summary window will display. Scroll down and click on click here to start over to return to your distribution list window.

Share Management of a Distribution List
  1. In the Modify Distribution List Data (top) window, set a password for the list by entering the desired password in the Password field.
  2. Enter the password again for confirmation in the Retype Password field.
  3. If the Description field is blank, enter a short description for the distribution list.
  4. Click the Update List button.
  5. Give the password to any authorized user you wish to have edit this list. You must also give them the Display Name and Email Address for the list.

  6. Example:
    Display Name=dl-dssc-mat
    Email Address=dl-dssc-mat@domail.maricopa.edu

Transfer Ownership of a Distribution List
  1. In the Modify Distribution List Data (top) window, scroll down and enter the email address for the new list owner in the List Owner's Email Address field.
  2. Scroll down and click the Update List button.

Edit a Distribution List You Do Not Own
  1. Click the Manage Distribution Lists link. Scroll down in the window that displays to the Edit Any Distribution List section.
  2. At DL Display Name: enter the name of the list as it is displayed in the Maricopa Directory. Example: dl-dssc-mat
  3. At DL Email Address: enter the full email address of the list. Example: dl-dssc-mat@domail.maricopa.edu
  4. At DL Password: enter the password the owner of the list has assigned.
  5. Click the Search button. The Modify Distribution List Data window will display.
  6. Follow the steps to add members to or delete members from a distributon list.

Transfer Your Account to Another College
  1. Send an email to your college help desk telling them you need to have your account transferred.
Please include the following information:
  1. Delete all unnecessary messages and folders from Inbox.
  2. Delete all messages and folders from Trash.
  3. Unsubscribe yourself from all Subscriber lists. You will need to resubscribe with your new email address once your account is transferred.
  4. Notify all external users of your new email address.
  5. Login to PAT and click the Edit Directory Information link. Scroll down to the User Move Pending field.
  6. When both User Move Pending and Site Ready to Move User have been set to Yes, and if you have completed steps 1-5, you may set User Ready to Move to Yes.
  7. Scroll to the bottom of the Edit Directory Information page and click Submit.

  8. Note: Your account will be moved to the new address within two business days. It is imperative that you not log into your email account during the interim. Logging in will delay the transfer.
    The only part of your username that will change is the college identifier which follows the @ sign.
    Example:
    chrystle.hall@domail.maricopa.edu moves to SCC becomes chrystle.hall@sccmail.maricopa.edu
    Your Password will be reset to "nothing".

Set Auto Reply
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Scroll if necessary to click the cursor in the Autoreply Text window. Then enter the text for your auto reply.

  3. Note: Text does not wrap within the Autoreply Text window, so you should press Return at the end of each line.
  4. Activate the checkbox for "Vacation reply (only send a single copy to a recipient)." With this option activated, the sender will only receive an Autoreply from your account the very first time they send you a message.

  5. Optional:  Activate "Return contents with autoreply message" if you would like to have the Sender’s original message quoted in the Autoreply message that is sent to them.
    Optional:  If you would like the Sender to receive an Autoreply more than once, you may specify how often the same recipient will receive your Autoreply message by entering the number of days at "Message sent to same recipient every _____ day(s)."
  6. Click Update Autoreply text and options to activate your Autoreply. A screen confirming your autoreply has been set will display.
  7. Click Return to Web PAM to take you back to the Web Personal Account Manager.
  8. Scroll down and click Log Off.
  9. Now click Log Off on the left side of the screen.

Cancel Autoreply
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Click the Disable All Autoreply Options and Remove Current Text button. A screen confirming your autoreply has been disabled will display.
  3. Click the Return to Web PAM button to take you back to the Web Personal Account Manager.
  4. Scroll down and click Log Off.
  5. Now click Log Off on the left side of the screen.

Set Your Account to NOMAIL
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Click the Set This Account to NOMAIL button. A message will display stating "Your email forwarding has been updated."
  3. Click the Return to Web Pam button.
  4. Scroll down and click Log off.
  5. Now click Log Off on the left side of the screen.

Cancel NOMAIL
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Delete the "nomail@nomail.maricopa.edu" text located in the Update Autoforward All Mail To field.
  3. Once the text is cleared and the field is empty, click the Update Autoforward All Mail To button.

  4. A message will display stating "Your email forwarding has been updated."
  5. Click the Return to Web PAM button.
  6. Scroll down and click Log Off.
  7. Now click Log Off on the left side of the screen.

Autoforward Your MEMO Email to a Different Email Address
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Click the cursor in the Update Autoforward All Mail to field and type in the email address to which you wish to forward your email.
  3. Click the Update Autoforward All Mail to button.

  4. A message will display stating "Your email forwarding has been updated."
  5. Click the Return to Web PAM button.
  6. Scroll down and click Log Off.
  7. Now click Log Off on the left side of the screen.

Cancel Autoforward of Your MEMO Email to a Different Email Address
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Delete the email address located in the Update Autoforward All Mail To field.
  3. Once the text is cleared and the field is empty, click the Update Autoforward All Mail To button.

  4. A message will display stating "Your email forwarding has been updated."
  5. Click the Return to Web PAM button.
  6. Scroll down and click Log Off.
  7. Now click Log Off on the left side of the screen.

Check Your Disk Space
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. The top portion of the Web Personal Account Manager page shows the Allotted Disk Space and the Amount of Disk Space Used for your MEMO account.
  3. Now click Log Off on the left side of the screen.

Direct Copies of All Mail to a Different Email Address
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Click the cursor in the Update Copies of All Mail To field and type in the email address to which you wish to direct copies of all your email.
  3. Click the Update Copies of All Mail button.

  4. A message will display stating "Your email ‘Copies to:’ has been updated."
  5. Click the Return to Web PAM button.
  6. Scroll down and click Log Off.
  7. Now click Log Off on the left side of the screen.

Cancel Direct Copies of All Mail to a Different Email Address
  1. After logging into the PAT Tool click the PAM button on the left side of the screen.
  2. Delete the email address located in the Update Copies of All Mail To field.
  3. Once the text is cleared and the field is empty, click the Update Copies of All Mail button.

  4. A message will display stating "Your email ‘Copies to:’ has been updated."
  5. Click the Return to Web PAM button.
  6. Scroll down and click Log Off.
  7. Now click Log Off on the left side of the screen.

Logout of Personal Administration Tool (PAT)
  1. Scroll down on the left side of the screen.
  2. Click the Logout button.
